Renew or extend your subscription

Understand automatic subscription renewal, manual platform access setup, and the separate certificate expiry date.

Your annual subscription is paid upfront and starts on a date agreed with you. All seats and learner access share its end date; joining later does not give a learner a fresh 12 months.

Subscriptions renew automatically unless you cancel future renewal by emailing info@demed.co.uk any time before renewal. Stripe billing is managed outside the website. There is no integrated checkout or automatic billing in the platform itself.

Commercial renewal and platform access setup are separate: support manually provisions and activates the next access period. Here’s how to check your access and discuss any changes with support.

The three things to know

  • Access Period — the dates your team can use the course.
  • Carry learners forward — what happens to your people when a new period starts.
  • Manual renewal enabled — support can arrange a new platform access period. This setting does not control your commercial subscription renewal or Stripe billing.

Where to see your current settings

  1. Sign in and click Manage training in the sidebar.
  2. Open the order you want to review.
  3. Look at the strip across the top of the order page — this is your at-a-glance summary.

The Access tile on the right shows how many days are left and the expiry date — it turns amber as the end of your period gets close, so you can check your arrangements before renewal.

What each setting means

Access Period

The window of time your team currently has access to the course. When you reach the end date, access ends unless a further period or extension has been arranged with support.

Carry learners forward

Support records Carry learners forward when provisioning the next period. Learners are carried forward only when that period is activated at or after its start date. Cancelled or released allocations are excluded, and the new capacity must fit the eligible learners.

  • On — you want eligible active learners to continue, with their learning history preserved.
  • Off — you want to choose learner assignments for the new period separately.

Manual renewal

A platform administrator provisions the next period, then activates it when due. Provisioning does not end current access or charge a payment. Once provisioned, the shared period boundary is fixed. Turning off the platform’s manual renewal setting does not cancel an already-provisioned period or your commercial subscription renewal.

Incomplete learning continues from its existing history. Learners who already passed are not forced to retake the course; reports show that as completed previously, not a new-period pass. Order renewal never changes certificate expiry. Continuing the subscription includes continued access and annual recertification for each learner. Certificate renewal is a separate learner action, not an automatic expiry-date extension.

How to change any of them

To discuss platform access or learner arrangements, contact support. To keep things simple and avoid accidental changes, these settings aren’t flipped on and off from inside the app for most people — we handle the change for you. Email support@demed.co.uk with what you’d like to do. To cancel future commercial renewal, email info@demed.co.uk before renewal instead.

  • Whether you’d like more seats, a longer period, or both.
  • Whether you’d like everyone on your current period to roll over, or to start fresh.
  • Your requested next access period and learner arrangements.

What happens if my access ends

If your platform access period ends without a further period being activated or an extension arranged, your team won’t be able to access course content or submit learning activity. People who already passed and earned a certificate keep their certificate — certificate expiry is separate from the order end date. If you have renewed but access is unavailable, contact support.

Common questions

How do I know when I’m due for renewal? The Access tile on the order page shows days left and turns amber as the end approaches. The Report tab’s Period card has the same info.

Can I add seats mid-period? Yes. Email support@demed.co.uk and we’ll top up your order.

Can I downgrade or pause? Get in touch and we’ll talk through the options.
